Lena Transport is a provider of drivers and vehicles for hire based in and covering the Great London area. They are operating at the highest industry standards, with the commitment to offering fully qualified and referenced staff and a legally compliant vehicle fleet . Where they needed support was at the backbone of their business: transitioning the operative day-to-day workflow from a manually managed extensive Excel sheet to an automated, digitally viable solution.
After we got invited to solve the puzzle, we soon understood the need for a clean and transparent internal platform for monitoring and organising the operative and administrative tasks. Driven by the ambition of saving time and minimising the possibility of human error, we’ve set up a technological strategy to achieve a clear, resource-efficient operational platform. One of its outputs was a digital tool that simplifies routing features, GPS tracking, automated data collection, driver profiles, client data, and on-demand billing statements.
A labyrinth is perceived as an elaborate and confusing journey of twisting passages, blind corridors, chilling dead-ends, and probably no map.
Lena Transport also had its fair share of labyrinths: a vast Excel spreadsheet with thousands and thousands of rows. And yes, without a map to orient with. However, the internal document was the company's operational backbone: it listed day-to-day operations, drivers, clients, orders, routes, route planning, drivers’ assignments, salary calculations, billing, etc. Every tiny but meaningful detail flowed through that one monumental maze.
With time, the Excel file gained weight, resembling Hong Kong’s downtown in the morning traffic. And that’s heavy. The need for an advanced digital solution was more than timely: the maze had to be replaced by a scalable, transparent admin platform to see through and organize the day-to-day workflows.
We faced the labyrinth and weren't disappointed: the Matrix's Green Code was nothing compared to it. By deep diving into it, we soon discovered it has to be superseded by a breathable, easily passable structure. So we set up a technological strategy to achieve a clear, time- and resource-efficient operational platform.
To reach that destination, we envisioned a digital tool consisting of two distinct but interconnected elements:
The new approach was shaped to make different data models smoothly manageable. By unifying these into a common data set, various internal functionality processes can now be provisioned from a single, transparent source. The platform is also a suitable solution for additional employee-specific, admin- and customer-relevant attributes.
